These Terms & Conditions (Terms) govern the provision of recruitment services and your use of the Renstaff website. By engaging us or using the site, you agree to these Terms.





1) Who we are

2) Definitions



  • Client: a dealership or company engaging Renstaff to source Candidates.
  • Candidate: an individual introduced by Renstaff for employment or engagement.
  • Introduction: when Renstaff provides a Candidate’s details (e.g., CV/profile), or arranges an interview.
  • Placement: a Candidate accepts an offer of employment/engagement from the Client.




3) Scope of services



Renstaff provides permanent recruitment for the motor industry on a once-off placement fee basis. We source, screen, and shortlist Candidates and coordinate interviews. Advisory and onboarding support may be provided as reasonable.





4) Client responsibilities



  • Provide an accurate brief (role, skills, remuneration, location, start date) and notify us promptly of changes.
  • Treat Candidate information as confidential; do not share it without the Candidate’s written consent.
  • Inform Renstaff immediately when an offer is made/accepted and on the Candidate’s start date.
  • Conduct any required background, qualification, medical, credit or legal checks before hiring.
  • Comply with applicable labour and equality laws and ensure a safe, lawful workplace.




5) Candidate responsibilities



  • Provide accurate, up-to-date information in CVs, applications and interviews.
  • Inform Renstaff of any conflicting applications, restrictions, or changes in availability.
  • Provide consent where screening is required and respond timeously to requests for documents.




6) Fees & payment



  • Our standard model is a once-off placement fee payable on offer acceptance or on the start date (as stated on your quote/engagement).
  • Invoices are payable within 7 days unless otherwise agreed in writing.
  • Late amounts may accrue interest at 2% per month (or the maximum permitted by law).
  • Fees are quoted exclusive of VAT. If/when VAT becomes applicable, it will be charged in addition.




7) 3-Month Replacement Guarantee



We provide a free replacement within three (3) months from the Candidate’s start date if the employment ends due to performance or fit-related reasons. The guarantee applies once per Placement and only if:

  • Our invoice was paid in full and on time.
  • The Client notified Renstaff within 5 business days of termination and cooperates in good faith.
  • The termination is not due to redundancy, restructuring, change in role/scope, site closure, or unlawful conduct by the Client.
  • All employment laws and on-boarding obligations were complied with by the Client.

If a suitable replacement cannot be found within a reasonable time (typically 30–45 days), Renstaff may, at its discretion, issue a credit note towards a future placement. No cash refunds are provided unless expressly agreed.





8) Introductions & conversions



  • Introductions are confidential and valid for 12 months. If the Client hires a Candidate we introduced (directly or via a third party) within 12 months, the placement fee is due.
  • If a Candidate is engaged in any capacity (permanent, fixed-term, consulting, contractor) within 12 months of Introduction, the fee applies.




9) Confidentiality & POPIA



Each party must protect confidential information. Renstaff processes personal information in line with POPIA. See our Privacy Policy for details on how we collect, use and protect data.





10) Important disclaimers & liability



  • Candidate-provided information: We rely on information supplied by Candidates/referees and take reasonable steps to verify key details, but we do not guarantee its accuracy or completeness.
  • Hiring decision: The Client is solely responsible for the final hiring decision and any required checks. Do not rely on Candidate information alone before completing your own due diligence.
  • No employment relationship with Renstaff: Candidates are not employees of Renstaff. We are not liable for their acts or omissions once engaged by the Client.
  • Limitation: To the maximum extent permitted by law, Renstaff’s total liability arising under these Terms is limited to the fees paid for the specific Placement giving rise to the claim. We are not liable for indirect, consequential or special loss (e.g., loss of profit, production or goodwill).




11) Website use



  • Content is provided in good faith for recruitment and informational purposes and may change without notice.
  • Do not misuse the site (malware, scraping, attempts to breach security).
  • Third-party links are provided for convenience; Renstaff is not responsible for their content or policies.

12) “Received in error” instruction



If you receive Candidate information from Renstaff in error or you are not the intended recipient, please notify us immediately and delete it. Do not copy, disclose, or use the information.





13) Force majeure



Neither party is liable for failure or delay caused by events beyond reasonable control (e.g., natural disasters, power or network failures, industrial action, changes in law).





14) Changes to these Terms



We may update these Terms from time to time. The latest version will be posted on this page and takes effect when published.





15) Governing law & disputes



These Terms are governed by the laws of the Republic of South Africa. The parties will first attempt to resolve disputes in good faith; failing which, either party may approach a court of competent jurisdiction in South Africa.





16) General



  • Severability: If any provision is invalid, the remainder remains enforceable.
  • Assignment: Rights/obligations may not be assigned without written consent (not unreasonably withheld).
  • Notices: Official notices may be sent to the email/address above unless otherwise agreed.
  • Entire agreement: These Terms, together with any written quote/engagement, comprise the entire agreement for a Placement.
